Guide on How to Write a Profesional Email Which Will Help You Increase Your Skill

As email is one of the most used forms of communication between internal office colleagues or even clients where it has become a norm for every workplace. But if you can write a professional email in a variety of ways, then you might catch someone’s attention which will lead you to have a better skill for sure too.


6 Crucial steps to create professional emails.

Identify your goal

Before you start your email, it is important to determine the purpose of your email and who is the receiver where you can determine the style of the message which is going to be written.

Consider your audience

When you compose an email message, it is important for you to ensure your tone matches your audience as if you are emailing a business executive you never met, kept the email polished and free from any jokes or informalities as you are first meeting up with them, while you can be less formal and more friendly after you have a good relationship with them.

Keep it concise

As your audience might have little time to read your email, so make it as brief as possible with all the important key-point and leaving out too many repentance or lengthy messages.

Proofread your email

Before you sent out your email, always take a moment to check for any spelling, grammar, or syntax errors and also double check on your attachments as if the email is an important email to all stakeholders, it is very important for the email to be very correct.

Proper etiquette usage

Always remember to include a courteous greeting and closing to sound friendly and polite as this is a considerate thing to do for putting yourself on the recipient side of view and also unless it is an emergency, avoid emailing a contact asking for something after working hours.

Remember to Follow Up

It is always important to follow up or respond to your message as it is very rude for you to reply to someone’s email after 2-3 days’ time and especially if the message has some important and urgent message in it.


Proper Email Formats

Subject Line 

Always include a subject line to let your sender or audience know exactly what to expect from your email and make it easier to track on the email important information.

Salutation

It is very important to make sure your greeting is correct to your audience as it is a polite way to start a conversation with your audience

Body

Just like a body after having a head and subheader, this is where you share your full detailed message, remember always to keep it brief and down to the point and not too lengthy.

Closing

This is the last line which most people tends to forget on their email content nowadays as this is where you will reiterate any request you’ve made in the body of your message and just a short brief reminder or a follow up of actions such as “I will look forward to meeting you on 2 days later, Thanks again!”

Signature

This is where you get to identify yourself to let others know who you are simply by your name, title, and other relevant information such as your phone number, email, and others, etc.
